Bodhi Kenya is the Kenyan subsidiary of Bodhi Global Analysis, a research consultancy headquartered in the United Kingdom with additional operations in Tanzania and Singapore. Bodhi delivers high-quality research, monitoring, evaluation, and learning (MEL) services across the international development sector, working with UN agencies, bilateral donors, NGOs, and governments. Bodhi Kenya is seeking a dedicated and organised Roster Coordinator to join our Operations team, based in Nairobi. The Roster Coordinator will be responsible for the end-to-end management and coordination of Bodhi’s three consultant rosters: International Consultants (ICs), National Consultants (NCs), and Enumerators. This role is central to ensuring that Bodhi can draw on the right expertise at the right time for project delivery across our global portfolio.
The successful candidate will manage the full lifecycle of roster membership, from recruitment and onboarding through to ongoing relationship management and deployment. They will work closely with the Business Development, Research, and Project Management teams to ensure that consultant resources are available, qualified, and compliant with Bodhi’s policies and standards.
This position reports directly to the Chief Operating Officer and is supported by automated systems on the Bodhi Dashboard.
• Plan and execute regular recruitment drives across all three rosters (ICs, NCs, and Enumerators) to maintain a pipeline of qualified consultants.
• Respond to ad hoc requests from the Business Development and Research teams to identify and recruit consultants with specific thematic, geographic, or linguistic expertise.
• Draft and post job descriptions and expressions of interest on appropriate recruitment platforms, including ReliefWeb, Impactpool, ConnexUs, LinkedIn, and relevant regional platforms.
• Screen applications and CVs against role requirements, shortlisting candidates for interview.
• Arrange and coordinate interviews with members of the Senior Leadership Team for IC and NC candidates.
• Identify gaps in the rosters by thematic area, geography, language, and methodology, and develop targeted recruitment plans to address them.
• Travel within East Africa and to other regions as required to support recruitment activities, in accordance with Bodhi’s Travel Policy (BPOL 0020).
• Manage the contracting process for all roster members, including the preparation and distribution of Master Service Agreements (MSAs).
• Ensure all new roster members complete the required onboarding steps, including acknowledgement of key Bodhi policies (Safeguarding, PSEAH, Data Protection, Code of Conduct, and IT Security policies).
• Provide guidance to consultants on the terms and conditions of their MSAs and address any queries during the onboarding process.
• Ensure that all consultant records are accurately entered and maintained on the Bodhi Dashboard, including skills, thematic expertise, geographic coverage, languages, daily rates, and MSA status.
• Monitor MSA expiry dates and manage the renewal process in a timely manner, using the Dashboard’s automated alerts.
• Maintain the accuracy and completeness of all three rosters on the Bodhi Dashboard, ensuring consultant profiles are current.
• Send periodic reminders to roster members to update their CVs, availability, and contact details.
• Produce regular roster reports for the COO and Senior Leadership Team, covering roster size and composition by category, region, and thematic area; gaps and recruitment priorities; MSA expiry schedules; and consultant engagement levels.
• Maintain a current rate card across all three rosters and provide consultant availability and costing information to the Business Development team during tender preparation.
• Issue Task Orders to consultants for specific project assignments, ensuring that Task Orders are compliant with the terms of the relevant MSA.
• Coordinate with Project Managers to identify consultant requirements for upcoming and active projects.
• Support the matching of consultants to project needs based on skills, availability, location, and daily rate.
• Serve as the primary point of contact for all roster members, maintaining regular communication to foster positive, long-term relationships.
• Implement and maintain consultant engagement activities, such as newsletters, online calls, or other mechanisms to keep roster members informed and connected to Bodhi.
• Gather feedback from roster members on their experience of working with Bodhi and relay relevant issues to the COO.
• Act as a liaison between consultants and internal teams, addressing any issues or queries that arise during project assignments.
• Build and maintain the Enumerator roster, which is a recently established system, working with Project Managers to identify enumerator needs on a per-project basis.
• Support the logistics of enumerator recruitment for specific data collection exercises, including coordination with local partners where relevant.
• Maintain records of enumerator performance and availability to inform future project staffing decisions.
• Ensure GDPR-compliant handling of all consultant personal data, CVs, and records in accordance with Bodhi’s Data Protection Policy (BPOL 0018).
• Ensure that all roster members have current, signed confidentiality agreements and have acknowledged relevant Bodhi policies.
• Support consultant performance tracking by maintaining records of project feedback and flagging any performance concerns to the COO.
• Ensure that consultants deployed to work with vulnerable populations have acknowledged Bodhi’s Protection Policy (BPOL 0007) and PSEAH Policy (BPOL 0027).
• Bachelor’s degree in International Development, International Relations, Human Resources, Business Administration, or a related discipline.
• Minimum of 2 years of experience in a coordination, recruitment, or roster management role, ideally within the international development or humanitarian sector.
• Experience working with consultant rosters, freelance databases, or similar talent management systems.
• Familiarity with the international development sector, including an understanding of how research consultancies, NGOs, and UN agencies operate.
• Experience of working in or with organisations operating in fragile and conflict-affected environments is desirable.
• Fluency in English is a must. Proficiency in French, Arabic, Swahili, or Spanish is desirable.
• Organisation and coordination: Ability to manage multiple concurrent processes across different rosters, countries, and time zones with a systematic and methodical approach.
• Communication: Strong written and verbal communication skills in English, with the ability to communicate confidently and professionally with consultants, partners, and colleagues across diverse cultural contexts.
• Relationship management: Proven ability to build and maintain positive working relationships with a large and diverse network of external professionals.
• Data management: Comfort working with databases, dashboards, and spreadsheets to manage and report on roster data accurately.
• Attention to detail: A meticulous approach to contracting, record-keeping, and compliance documentation.
• Initiative and flexibility: Competency in independent working, showing initiative towards completing goals and objectives, with the flexibility to adapt to changing priorities and urgent staffing requests.
• Teamwork: Openness to ideas and input from others on the team, ability to work collaboratively across departments, strong listening and interpersonal skills.
• Technical proficiency: Comfortable using Google Workspace, project management dashboards, Slack, and standard office software. Experience with applicant tracking systems or CRM platforms is an advantage.
